What we handle

Everything for a smooth gathering

Sound

Wireless microphones and speakers so every speaker is clearly intelligible, even at the back of the room.

Video

Presentation screen or LED so slides and video are visible for everyone.

Livestream and recording

Livestream via Teams or YouTube for colleagues who cannot attend in person, and recording so everyone can watch back later. Both can run at the same time.

Setup and presence

We set up, test everything and stay on site throughout your programme.

  • Staff gatherings
What you need

The right AV for your staff event

What you need depends on group size, the venue and whether you go hybrid. A practical guide per situation.

Small event (up to 30 people)

With a small group in one room, the acoustics do much of the work. A full-scale sound system is not needed for this size. A handheld microphone for the speaker and a compact speaker for extra clarity are usually enough. What you need:

  • 1 or 2 wireless handheld microphones
  • Compact speaker or soundbar
  • Connection to the venue's existing TV or beamer
  • No recording needed, unless you want written minutes
Medium event (30-100 people)

From 30 people onward the room no longer carries the sound on its own. A full sound system (speakers and amplifier) becomes necessary to reach everyone evenly, especially in spaces with reverb. Planning audience questions? Count on extra floor microphones. What you need:

  • Sound system with two speakers and a subwoofer (for full, clear reproduction)
  • 2 to 4 wireless microphones (speaker and audience)
  • Clear projection or LED screen
  • Playback screen for the speaker (so they can see their own slides without turning around)
Large town hall (100+ people)

Large venues create a typical problem: the front rows hear fine, but it gets muddy at the back. A line array (a row of stacked loudspeakers) distributes sound more evenly across the room. For extra deep venues we add delay speakers: additional loudspeakers halfway down the room that play a fraction later, so the back row hears each word at the same moment as the front row. The same applies to visuals: one central projection is often too small for the back. What you need:

  • Line array (row of stacked loudspeakers) or multiple speakers for even coverage
  • Delay speakers for deep venues (additional loudspeakers halfway down the room, playing a fraction later)
  • Multiple microphones plus a backup
  • LED screen or large projection, visible from the back row
Hybrid event

A hybrid event is not just a camera tagging along. The remote audience needs a separate sound balance, otherwise it sounds hollow or muffled compared to the room. Video without proper framing becomes unrecognisable, and a single laptop camera misses the context remote viewers need. What you need:

  • Camera on a tripod, with clear speaker framing
  • Separate sound balance for the stream (remote audience gets a different mix than the room, otherwise it sounds hollow)
  • Platform aligned with IT: Teams, YouTube or Vimeo
  • Recording so colleagues can watch back later

Common mistakes

  • Adding a hybrid element late. Deciding two days before the event that forty colleagues will tune in from home means we have to squeeze in extra equipment, cameras and stream setup around a plan that is already set. Decide on this at the initial planning stage, so it becomes one integrated production instead of a rushed add-on.
  • No microphone for audience questions. An employee asking something from the back row should be as audible as the speaker on stage. Without a floor microphone the speaker has to summarise the question or guess at what was said. A roaming wireless microphone prevents that hassle.
  • Telling speakers about the recording only on the day itself. Many people freeze when they hear just before going on stage that their words will be captured for later distribution. Mention the recording and its purpose in the invitation, so speakers can adapt their approach or flag sections that should stay off the record.
Example from practice

Staff meeting for 200 people, every quarter

For LVNL we handle an internal gathering four times a year at their site near Schiphol, where around 200 employees come together for presentations and speeches of about ninety minutes. We take care of the sound and the setup. LVNL arranges the video themselves, as the room has its own screens.

Frequently asked questions

Questions about AV for a staff event

Not seeing your question? Call or email us and you will get a straight answer.

What is needed for a town hall with colleagues joining remotely?

We join your own Teams environment, or another platform you use. Our camera feed goes in as a webcam and the sound as a mix from our mixing desk. Your remote colleagues therefore hear the same as the room, instead of a laptop microphone standing halfway across the space.

Does this work in an office without built-in equipment?

Any space where you can fit your audience, we can equip. If there are no screens, we bring them. We regularly work in canteens for announcements, drinks receptions and gatherings. If the best spot for your party is a car park, we will put equipment there.

Can you also cover the drinks or party afterwards?

We are glad to include the equipment for that if it is part of the job. Think of sound, music and lighting for the part after the programme. The food and drinks we leave to a catering company.

How many people can you cover?

We have worked for groups of 20 people, a small live podcast indoors, up to 10,000 visitors at an outdoor sports event. Most of the events we handle sit between 50 and 400 people. If yours is larger, just ask.

Your event technically sorted?
